Information on Name Entries

Gender diversity is reality and normality. The University of Greifswald takes the valid legal stipulations into account in its efforts to provide members of the university community (both students and staff members) with a day-to-day university life that is as non-discriminatory as possible. This document provides you with information on the current possibility of changing your given name on the basis of the Ergänzungsausweis (supplementary ID card) from the Deutsche Gesellschaft für Transidentität und Intersexualität (dgti e.V.). Furthermore, we will continue to regularly check how we can improve the gender equality of intersex, transgender, and non-binary students and members of staff.

Use of the dgti name prior to an official change of name and civil status

The University now allows the use of the name on the dgti supplementary ID card for internal processes at the university in order to improve the gender equality of intersex, transgender, and non-binary students and staff members.

This is made possible by entering the name on the dgti supplementary ID card as a supplementary entry in the master data stored in HIS, which is then automatically adopted for use by the internal systems at the university (central user account, self-service portal, lists of participants when registering for examinations, examination records, email address, student or staff ID cards, Moodle, BBB, OpenProject, PaperCut etc.). 

In order to exclude the possibility of double casting of votes by the same person in elections held at the University of Greifswald, it is necessary for the electoral bodies to know the legal name of persons who use given names indicated on their dgti supplementary ID cards at the university. The respective members of staff at the responsible electoral offices receive a list of persons who use a given name indicated on their dgti supplementary ID card that deviates from the given name indicated on their national ID card.

 

For students:

You can provide/change your given name by submitting the following form and presenting your dgti supplementary ID card. Please contact the Students' Registration Office.

By changing your name in the internal systems used at the university, you make sure that lecturers and examiners only receive the given name indicated on your dgti supplementary ID card for everyday university activities. This might not apply entirely to certain degree courses (e.g. in the degree courses provided by University Medicine Greifswald and in the degree course Pharmacy) if you change your name during studies.

Degree certificates can currently only be issued on the name indicated on the national ID card. Degree certificates that have already been issued can also only be changed following an official change of name. The same applies to further administrative procedures such as the transcript of records and other official study documents (including certificate of enrolment, deregistration certificates and notifications of charges).

Please note that members of teaching staff in degree courses ending with a Staatsexamen directly issue some certificates that must be presented to the state examination offices. If the name on the supplementary ID card is used in such circumstances, there will be deviations from the name details provided on the transcript of records issued by the Central Examination Office and the national ID card that also has to be presented to the Landesprüfungsamt (State Examinations Office).


For staff members:

You can provide/change your given name by submitting the following form and presenting your dgti supplementary ID card. Please contact the respective member of staff at HR.

Employment contracts, appointment certificates and corresponding administrative procedures, as well as notifications sent to the Landesamt für Finanzen (State Finances Office) or the Finanzamt (Revenue Office) can currently only be issued in the name indicated on the national ID card.

 

Recipients of the information

Only authorised staff members at the University of Greifswald are able to access and process your data indicated on the dgti supplementary ID card. These are:

  • the respective members of staff at the Student and International Affairs Division, at the Office of the Dean of Studies at UMG, and the HR Department
  • system administrators of the university systems
  • respective members of staff at the responsible electoral offices

 

Length of storage

The data will be processed until you revoke your consent or your central user account is deleted automatically in the course of your deregistration/termination of your employment. If statutory storage periods require longer storage, the data will be deleted immediately after the end of these periods. Data worthy of archiving will be passed on to the University Archive and stored there permanently.

 

Legal basis

The processing is carried out on the basis of your consent pursuant to Art. 9(2) Item a GDPR.

 

Rights pursuant to GDPR

You have the right to withdraw your consent for the processing of your personal details at any time and without having to provide any details with effect for the future, without incurring any disadvantages. Please send your withdrawal of consent in writing to the University of Greifswald, Domstraße 11, 17489 Greifswald, or via email to studsekuni-greifswaldde or persdez@uni-greifswald.de.

You also have the right to receive information upon request and free of charge about your stored personal data, its origin and recipient, the purpose, and the length of data processing. Furthermore, under certain circumstances, you have the right to the correction, limitation of the processing (e.g. blocking), deletion, and the data portability of your data.

If, in your opinion, your data is not being processed in a lawful manner, you have the right to submit a complaint to the responsible supervisory authority for data protection. The supervisory authority is:
